Choosing order handoff tools for store collection
Compare store collection handoff needs with documented Shopify and Square workflows, plan limits and counter checks.
Choose a handoff tool for the collection-point jobs: find the order, locate the parcel, verify what is being released and record the handoff. Start with the commerce and point-of-sale systems already in use. Add another tool only for a gap those systems cannot reliably close.
Test the counter task
Ask a colleague to find a ready order using only what a customer is likely to bring. Can they search by order reference, confirm the collection store and see the current status? Can they find the parcel’s holding location and spot an item still outstanding? Can they record collection after the parcel leaves the counter?
A parcel label or pickup slip should carry enough information to match the goods to the order without displaying unnecessary customer details. Provide an assisted lookup for someone without a phone or confirmation message. Decide how staff verify an authorised collector under the retailer’s own policy.
Compare documented starting points
Shopify pickup with POS
Fit: A retailer already using Shopify for online orders can manage pickup preparation and handoff in Shopify POS. Shopify documents preparing orders for pickup, activating customer pickup notifications, and marking orders as picked up.
Limit: Shopify’s order-editing documentation notes that editing orders requires the store owner or the Edit orders permission. Orders imported into Shopify admin can’t be edited, and orders created by an app can only be edited by that app; some apps might not recognise order edits, which is more likely to affect fulfilment apps.
Demonstrate: Prepare an order, make a permitted item edit, and check what the counter sees before release. Confirm the store’s plan, permissions and devices.
Square Online with Order Manager
Fit: A retailer taking Square Online pickup orders can use Square’s Australian Order Manager to search and filter orders, view activity logs and update fulfilment status between In progress, Ready and Completed. Square Online pickup setup includes timing, hours and ticket-printing options.
Limit: Pickup setup is documented for Square Online Free, Plus and Premium, with order-management permission required. Some text alert settings require Plus or Premium; the documentation does not establish that every ready notification does. Order status and printed tickets still need to match the physical parcel.
Demonstrate: Prepare a multi-item order, update its status through the fulfilment flow, check the customer message and verify the counter’s view before handoff.
Neither product is a universal recommendation. The choice depends on the existing order source, subscription, permissions and how the store handles exceptions.
Decide whether another tool is justified
Consider dedicated scanning, shelving or queue software only for a documented gap. Ask the supplier to demonstrate order changes, duplicate-handoff prevention, damaged-label lookup and reconciliation after lost connectivity. Include device upkeep and training in the decision.
Run ordinary and awkward handoffs at the actual counter. Record wrong-order lookups, parcel search time, missed changes and premature closures. These are proposed buying checks, not reported findings.
